Job Description: Medical & Cosmetic Dermatology Front Desk Patient Coordinator

Position Overview:

We are seeking a friendly, organized, and detail-oriented individual to join our team as a Medical & Cosmetic Dermatology Front Desk Patient Coordinator. In this role, you will be the first point of contact for our patients, providing exceptional customer service and ensuring a smooth and efficient front desk experience. You will handle patient inquiries, schedule appointments, manage patient records, and coordinate administrative tasks to support the overall operations of our medical and cosmetic dermatology practice.

Responsibilities:

  • Greet patients and visitors in a warm and welcoming manner, creating a positive first impression of the practice.
  • Answer phone calls, emails, and in-person inquiries, providing accurate and helpful information to patients regarding our services, appointment availability, and office policies.
  • Schedule and confirm patient appointments, coordinating with physicians, nurses, and other staff members to optimize the appointment calendar.
  • Collect and verify patient information, including personal details, medical history, insurance information, and consent forms.
  • Update and maintain electronic medical records (EMR) and patient files, ensuring accuracy, confidentiality, and compliance with privacy regulations.
  • Process patient check-ins and check-outs, verifying insurance coverage, collecting co-payments, and providing necessary forms and instructions.
  • Assist in handling billing and insurance-related tasks, such as verifying insurance eligibility, collecting balances, and reconciling payments.
  • Coordinate referrals to other healthcare providers, ensuring all necessary documentation and information are properly communicated.
  • Manage and maintain the reception area, ensuring cleanliness, organization, and a comfortable environment for patients.
  • Handle general administrative tasks, such as filing, faxing, scanning documents, and ordering office supplies as needed.
  • Collaborate with other team members to ensure effective communication and coordination of patient care.
  • Stay updated on medical and cosmetic dermatology services, procedures, and products offered by the practice, providing accurate information to patients when necessary.
  • Handle patient inquiries, concerns, and complaints in a professional and empathetic manner, escalating issues to appropriate personnel when needed.
  • Maintain a positive and professional demeanor, even during busy or stressful periods, fostering a pleasant and efficient patient experience.

Qualifications and Requirements:

  • High school diploma or equivalent; additional education or certification in medical office administration is a plus.
  • Proven experience in a similar role, preferably in a medical or dermatology practice.
  • Strong customer service and interpersonal skills, with the ability to communicate effectively and compassionately with patients of diverse backgrounds and ages.
  • Excellent organizational and multitasking abilities, with a keen attention to detail.
  • Proficiency in using electronic medical records (EMR) systems and other medical office software.
  • Familiarity with medical terminology, insurance billing processes, and HIPAA regulations.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Exceptional problem-solving skills, with the ability to handle challenging situations calmly and effectively.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced environment.
  • Strong teamwork and collaboration skills, with the ability to work harmoniously with physicians, nurses, and other staff members.
